How to Scan Your Signature and Make the Background Transparent: 5 Ways Compared

To put your signature under a PDF, into a letter or into your email signature, you need it as an image file, without a white box around it. That takes two steps: get the signature cleanly into a photo, then remove the background. There are several ways to do both. Here are the five most common, with an honest view of when each one is worth it.

Step 1: Get a clean picture of your signature

You do not need a scanner, a recent phone is enough. Pen, paper and light matter far more than the camera:

  1. A black or dark blue pen with a strong line. A gel pen or fineliner beats a faint ballpoint.
  2. Plain white paper without lines or watermarks. Squared paper shows up afterwards.
  3. Sign several times and pick the best one. The first is rarely it.
  4. Daylight from the side, not from behind. Your own shadow and the phone's are the most common cause of grey patches.
  5. Shoot straight from above, close enough that the signature fills most of the frame. No flash, it reflects off glossy ink.

If you do have a scanner: 300 dpi in greyscale is plenty. A higher resolution makes the file bigger, not nicer.

Step 2: Remove the background

Option 2: In Word with Set Transparent Color

Microsoft describes inserting a scanned signature in Word via Insert > Pictures1. Then, on the Picture Format tab, choose Color > Set Transparent Color and click the white area2.

The catch: it only works on a truly pure white background. A phone photo almost always has a slight grey gradient, which leaves patches behind. And the transparency only exists inside Word, the image itself is not changed.

Option 3: On a Mac with Preview

Preview can capture a signature with the camera: you hold your signature on white paper up to the camera and line it up with the blue line3. The signature is then saved in Preview, cut out, and can be placed in any PDF. You do not get a PNG file for Word or email that way, though. For that, open the photo in Preview and use the Instant Alpha tool in the Markup toolbar: click the white, drag until the background is selected, delete, export as PNG.

Option 4: With GIMP (free, more manual)

In GIMP, open the photo, raise the contrast under Colors > Curves until the paper is white, then choose Colors > Color to Alpha with white4. Export as PNG. The result is good, but the first time takes about a quarter of an hour.

Option 5: With general background removers

General background removers are trained on people and products, not on thin ink lines. With fine signatures they like to cut off single strokes. They work best with bold signatures.

Is an inserted signature legally binding?

In England and Wales, usually yes. Electronic signatures are admissible in evidence5, and the Law Commission concluded in 2019 that an electronic signature can be used to execute a document, provided the person signing intends to authenticate it and any other formalities are met6. It lists scanned handwritten signatures among the types of electronic signature.

The exceptions are the documents with extra formalities:

  • Deeds: they must be signed in the physical presence of a witness, even when both use electronic signatures6.
  • Wills: a will must be signed or acknowledged in the presence of two witnesses present at the same time7. A pasted image is not a safe way to sign one.
  • Anyone asking for a wet signature: banks, landlords or government forms can insist on an original signed in ink.

EU eIDAS rules, kept in UK law, add that an electronic signature cannot be refused just because it is electronic, and that only a qualified electronic signature has the same effect as a handwritten one8. An inserted signature image is a simple electronic signature. That applies to every digitised signature, however cleanly it is cut out, including the ones from our tool.

Frequently asked questions

What is the best file format for a digital signature?

PNG with a transparent background. It works in Word, in PDF apps and in most email programs. SVG is handy for design software and websites because it scales without loss. JPG cannot be transparent and always has a white box.

Can I digitise my signature without a scanner?

Yes. A phone photo is enough if you shoot from above in daylight and use a dark pen on white paper.

Why does my signature have grey patches in the background?

Usually shadows or a slight colour gradient in the photo. Tools that only remove pure white leave those patches. Better light helps, or a tool built for signatures.

Is my photo stored?

Not with our tool. The original photo is only processed in memory, and the cut-out result is deleted after 6 hours.

Is a scanned signature legally binding in the UK?

For most contracts and forms, yes: English law accepts electronic signatures, including a scanned handwritten one, as long as you intend to sign. Deeds need a witness who is physically present, and wills need two witnesses, so a pasted image is not enough there.
